1. WHO WE ARE
We are a digital freight platform which helps shippers find an appropriate carrier for their shipments and helps carriers and transport providers find new work via our platform. Please refer to the “About Us” section of our website www. zeuslabs.com to find out more about Zeus Labs.
The Platform is designed to:
• publish shipment requests on the Platform;
• allow carriers to view shipment requests on the Platform and/or otherwise offer shipment requests to specific carriers;
• allow carriers to submit their willingness to accept a shipment request and fulfil the job; and
• allow the shipper to track the progress of the shipment.
Please visit Section 8 of this Privacy Notice for our contact details.
2. OTHER DOCUMENTS YOU SHOULD READ
While this Privacy Notice contains all the information you need to know about how we collect and use your personal information on the Platform, there is some further information which may be relevant, such as our terms and conditions. We strongly encourage you to read these carefully.
3. INFORMATION WE MAY COLLECT FROM YOU AND HOW WE USE IT
Through your use of our Platform, we collect the following information and use it for the following purposes:
• Registration for Web Application. Information that a user provides on signing up may include:
- Full Name
- Company name, company vehicles owned and names of employees
- Company email address
- Phone number (business or private)
- Account password (user created)
• Creating user profiles in 'Admin Panel' (a user that created an account on Zeus can create accounts for other people from their company). Information provided for each additional account may include:
- Full Name
- Photo
- Company Name/Title
- Phone number (business or private)
- Email (business or private)
• Vehicle information - users can create a database of all their vehicles with basic info on each vehicle, including registration number.
• Drivers database - users can create a database of their drivers using their information. Drivers can be assigned to jobs and tracked using the Zeus Drivers app. Information that a user provides for each driver may include:
- Full name
- Phone number (business or private)
- Email (business or private)
- Contract type (e.g., full-time, part-time)
- Photograph
• Zeus Drivers mobile app
The Zeus Drivers mobile app is used specifically by hauliers on the Platform. It is used to track the movement of their trucks and drivers, as well as the status of the current job (i.e., on time, late, awaiting pickup, awaiting delivery, delivered, etc.) Information processed on the Zeus Drivers mobile app is visible to both the haulier company (employer of the driver) and Zeus Labs.
• Tracking - once the driver is assigned to a job and starts driving, by pressing the 'Start Job' button in the app, the movement of the mobile device is then tracked, for the purposes of monitoring real-time job progress. For map services, we are using Here maps with a paid license for trucking maps (https://wego.here.com/)
• Proof of Pickup (POP) and Proof of Delivery (POD) - we have developed a fully digital process of signing POP and POD, where both driver and person at pickup/delivery can digitally sign documents that contain all information on cargo, times, etc. Pickup and delivery documents are signed using the Zeus Drivers app: Both haulier (performing job) and shipper (job creator) can see the POP/POD in their profiles once signed.
• ‘Super Admin’ is an internal dashboard where Zeus Labs sales and accounting team have a record of all companies using the platform, with analytics and full control over user profiles.
• ‘Zeus View’ - super admin users (designated Zeus employees) can have full access to any company profile as ‘their users’, without being on the list of users in that company. This is mentioned in our terms and conditions for transparency, so our clients are aware that we have this facility. We will use the "Zeus View" feature in cases where our clients, usually shippers, want us to manage their profiles for them, particularly in the ‘pilot’ period. This feature will also be used for the troubleshooting of problems and for fixing bugs reported by users.
• Our Website (yourzeus.com) - marketing tools used and personal information we collect include:
- Google Analytics - we are using it to see general analytics of the website (number of visitors, number of people clicking on the call-to-action buttons, demographics of visitors, etc.). No personal information is collected through our use of Google Analytics.
- Facebook Pixel - we are using it so we can re-target our website visitors with Facebook ads and find a "lookalike audience" on Facebook (people matching the same interests and general profile as our website visitors). (https://developers.facebook.com/docs/privacy/)
- Zendesk (https://www.zendesk.co.uk/) - is used for live customer support (visitors can chat with our customer support team). Every visitor gets a record in Intercom and we can see how long they were on the website, on which page, etc.
- LinkedIn pixel - this tracking mechanism does not share or make available any personal data; it just enables us to track and measure the performance of advertising on Linkedin. It also enables us to create ‘lookalike’ audiences on LinkedIn to help increase the relevance of our advertising.
- HubSpot pixel - this enables us to share information with our HubSpot sales platform about the demographic of visitors to our website. This is to help track the impact of our sales activities. No personal information is collected or shared.
Where possible, the above information will be used in aggregated form (i.e., so it cannot be traced back to you) to help us create, develop, operate, deliver and improve our products and services.
• Notifications – Registered users of the Platform may receive push notifications on mobile or desktop devices, depending on user settings.
• Personal data processed by Zeus Labs may also be used for the following purposes:
- Research: Information collected by the Platform in conjunction with your use of the service may be used by us for research, analytics and internal survey purposes. In such event, use of your information will be subject to the terms of any applicable informed consent and/or other authorisations from you; and
- Communication: Information you provide us when you communicate with us, e.g., by email or by use of the ‘contact us’ form on the Platform, such as your name, company name and phone number, and any other information you provide us may be used to facilitate communication with you.
- Location Data: When using location services, the transmitted information may be used for tracking and monitoring vehicle movements, as mentioned above.
You will be fully responsible for the authenticity of the personal information you share with us. We will not be sharing your details with any third parties (unless otherwise stated in this notice). We will treat your personal data in the strictest confidence and use it only for the purposes for which you provided it, or as specified in this Privacy Notice.
4. SHARING YOUR INFORMATION
When you complete the form on the Platform, or we follow-up on your enquiries, we may share your information with other Zeus Labs entities or third-party service providers, for example, cloud storage providers, third-party processors etc. Third-party service providers will process your information on behalf of Zeus Labs for the purposes stated above. When we share your data with these parties, we ensure appropriate safeguards are in place to protect your information.
The Zeus Labs website is hosted in the UK, however should there be an operational need to transfer your personal data outside the UK or European Economic Area (the EU member states plus Norway, Iceland and Liechtenstein – “EEA”), the personal data transfers will be safeguarded using the UK government-approved International Data Transfer Agreement (IDTA). This applies to service providers and third parties in countries outside the UK and EEA who are not subject to an adequacy decision, adequacy regulation or other approved international data transfer mechanism. If you wish to know more about these safeguards, please contact us through the details below.
Zeus will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) conform with the law or comply with legal process served on Zeus Labs or the website; (b) protect and defend the rights or property of Zeus Labs and this site; and, (c) protect the personal safety of users of Zeus Labs, its website, apps or the public.
Our website includes links to our social media channels. Once you navigate away from our sites via one of the links, the site you transferred to may collect your IP address and may set a cookie on your device. When you use one of these links, you are sharing information to another website or service and this Privacy Notice will no longer apply. Please read the privacy notices provided by the service website you are directed to before posting any personal information using these links.
5. SECURITY OF YOUR INFORMATION
Safeguarding information of visitors to the Platform is important to us. We use appropriate technical and organisational measures to protect information from loss, misuse or alteration. The security measures are continually improved and adapted in accordance with industry best practice.
6. DATA RETENTION
We will retain your personal data for as long as is necessary to provide you with our products and ongoing services and for a reasonable period thereafter. This will enable us to meet our contractual and legal obligations and to deal with any complaints and claims.
At the end of the retention period, your personal data will be securely deleted in accordance with our Personal Data Retention Policy.
7. YOUR RIGHTS
The UK GDPR provides you with certain rights in relation to the processing of your personal data, including to:
- Request access to personal data about you (a “data subject access request”). This enables you to receive a copy of the personal data we hold about you, and to check that we are processing it lawfully;
- Request rectification, correction, or updating to any of the personal data that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected;
- Request personal data provided by you to be transferred in machine-readable format;
- Request erasure of personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove personal data where you have exercised your right to object to processing (see below);
- Request the restriction of processing of your personal data. This enables you to ask us to suspend the processing of personal data about you (e.g., if you want us to establish its accuracy or the reason for processing it); and
- Object to the processing of your personal data in certain circumstances. This right may apply where the processing of your personal data is based on the legitimate interests of Zeus Labs.
Some of these rights are not absolute and are subject to various conditions under applicable data protection and privacy legislation, laws, and regulations to which we are subject. If at any time you decide that you no longer wish to be contacted for marketing purposes, or if you would like to exercise any of your rights as set out above, you can contact us at GDPRrequests@zeuslabs.com. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.
In addition to the above, please note that you have the right to make a complaint at any time to the Information Commissioner’s Office in the UK, or the relevant supervisory authority in the EU, if you are concerned about the way in which we are handling your personal data. If you are in the EU, a list of local supervisory authorities can be found here.
8. OUR EU REPRESENTATIVE
We are based outside the EU and under the EU GDPR, as we offer our services to EU citizens, we are required to appoint an EU representative. The purpose of an EU representative is to make it easy for people in the EU to contact us should they wish to exercise their rights, make a complaint, or submit an enquiry in relation to how we are processing their Personal Data.
